As a business owner, one of the most important things you can do to stay top of mind with your contacts, potential clients, and referral sources is to develop simple follow up systems. You are wasting the time you spent gathering new leads plus valuable marketing dollars if you don’t follow up with these people.

I used to do a lot of networking at chamber events, women’s organizations and biz expos and I generally collected about 50 business cards from new contacts on a good week. Now however, that I’m more focused on the online part of my business and working globally with clients, I do more nationwide networking and online social networking.

However, I do the same things as before in the follow up. It’s important for you to realize whether you’re a brick and mortar business, service based business, home-based business or online business, you still need a clear, easy to implement follow up system that includes MORE than just email marketing….let me show you how to make this easy so it will get done.

Here’s my 6 Step Ultimate Marketing Follow Up System:

Implement this in your business TODAY, see more sales TOMORROW!

1. DATABASE ORGANIZATION: Organizing your new contacts is one of the most important tasks to do. You don’t have to invest a lot in a database. In fact you can start with an excel spreadsheet, entering your contacts and business card information week by week.

2. DEVELOP MESSAGES & MATERIALS: Writing your follow up marketing pieces is one of the most difficult parts of this whole equation for most small business owners. Your mailings, emails and even phone scripts need to be written with the hot buttons of your target market in mind. What do they care about most in regards to your products or services?

3. DEVELOP YOUR SYSTEM: Your system includes the frequency and number of times you will touch them. A touch can be either a direct mail piece of some kind, an email note or email newsletter, a follow up call, a message or friend request on social media, a drop by or even a fax. You want to determine what and how many times you’ll do each follow up activity for everyone you meet.

4. DELEGATE, AUTOMATE & MANAGE: Take the 20-28 touch system you created and delegate as much of it as humanly possible to an in office assistant, another employee (if they have time) or a Virtual Assistant or marketing person so you know it will get done. Some follow up can be automated if you have computer software, shopping carts or online services and scheduling software.

5. TRACK, ANALYZE & REVISE: Most often small businesses will do marketing such as the strategies I’m suggesting here in your follow up system yet they will never track to see if what they’re doing is working. Therefore they continue doing the same things over and over again. Sometimes your results won’t become apparent until after you’ve done the thing a few times (ie: frequency is important).

6. CONTINUE BUILDING YOUR LIST & REPEAT: Once you have a system set up for managing massive amounts of new contacts, then you can turn on the marketing hose I call it. That means you can market like crazy. Your goal should be to get in front of a LOT more of your ideal prospects every month in many different ways. I suggest going for a goal of 1000 new people to meet or connect with every month.

These tips are for any type of business, retail, online, service or product. So, not only do you need to follow up after new people you meet to GET their business or referrals and build those relationships, but you also have to cultivate those relationships over time so they keep you on top of their minds in case something comes up where they need your products or services or someone they know does.

I’ve been an entrepreneur since 2002. I’ve taken numerous courses and trainings, hired mentors, been in masterminds, etc. to upwards of $170,000 in investments in my business.

One of the many marketing and lead generation strategies I learned along the way that I still do today, 8 years later is to hold teleclasses & webinars live just about every single month.

I hope you realize how important speaking can be to YOUR business too. And speaking in this way can catapult your business tremendously in many ways. Let me share how… 

  • First of all, holding your own teleclasses & webinars gets you in front of dozens if not hundreds of potential prospects all at one time therefore extremely leveraging your time
  • It allows you the opportunity in many cases to make an offer from the platform you’re on due to the increased like-trust-connect factor of your participants
  • When you market these types of calls and presentations you have the opportunity to reach potential prospects around the world, not just in your local area
  • Teleclasses & webinars (if done well and include the right content) can increase your visibility and exposure on your online platforms and social media as well as position you more as an expert in your field

Why the majority of entrepreneurs DO NOT HOLD THEIR OWN Teleclasses & Webinars:

  • Fear of the unknown
  • Not sure what to say or how to present in that manner or any manner if they’re not speaking much already
  • Apprehensive of the technology needs required to hold such presentations
  • Not sure how to get people to attend (hence market the presentation)
  • Lack of confidence that anyone would want to listen to you anyway

How can you get over these issues and challenges if this is you?

  • You have to ask for support and guidance first of all, this type of marketing strategy is SIMPLE for those of us who do it and can show anyone HOW pretty quickly IF YOU ASK
  • You commit to doing it and just push through
  • You get some support around what to say during your presentation and how to present in a way that makes people want to stick around the listen in the whole time
  • You get some support and guidance around how to present an offer, even if it’s a free offer or call you want participants to take care of
  • You realize quickly how much this could grow your business if you just start doing it

Speaking in your business through these online portholes so to speak can work if you do a few things right:

  • First, plot out the topics you could cover in such a manner
  • Make sure those topics are what your target prospects want to hear more about by possibly surveying them or asking
  • Next, plot out the dates and times you will hold your events and choose which options are right for you – teleclasses, webinars, Google Hangouts, other?
  • Write out the topic description and come up with a hooky title (DO NOT DEVELOP THE ENTIRE PRESENTATION AT THIS TIME!)
  • Thirdly, learn a little about the technology and what you’ll need to effectively host your own teleclass or webinar and how you will present it online for prospects to enroll in your class and get on your email list in the process
  • Next, get up a registration page and process in place to take registrations, getting people on your list
  • Fourth, start marketing the event anywhere and everywhere you can think of – online and offline (see me for a full marketing plan if you aren’t sure!)
  • And finally, now you build out your content, once you know people are coming and you need to deliver – there is a specific way to lay out your content, putting certain things in the intro, the middle and the close or you may not see people stick around until the end or take the action you want them to take.
  • Oh and don’t forget to REMIND attendees to come to the call! People always forget that step!

The top questions from entrepreneurs are “How do I find clients” and “How can I make more money?” 

So how do you do it?  How do you continuously attract and find new clients, build the business that excites you and make more money … all at the same time?

Entrepreneurs get distracted with so many ideas and options that you either do nothing or you do too many things at once but none of them very well.

Don’t be fooled by all the tricks in the internet marketing world out there….if you’re in business and NOT seeing the kind of income you want to make then this is the perfect strategy for you to hone your skills in. I KNOW you’re not doing enough networking, relationship marketing or maximizing it when you do network. No one does….

Networking is STILL THE FASTEST PATH TO CASH for myself and any of my clients who need to generate business quickly.

So what is the fastest way to cash, and what about building relationships?

You need to meet as many people as you can and then keep in touch with them consistently and persistently in order to stay on top of their minds at all times. So, networking is the fastest way to build your list of customers and prospects and even referral sources. There are online networking strategies these days as well as offline, on this webinar we will touch on both.

Where can you start?

1:  Find More Places to Network:  More local events, luncheons, meetings, conferences plus national or regional ones too. I recommend making a habit of attending one larger conference or 2-4 day event every quarter at least. Then monthly locally you can attend anywhere from 1-4 per week in most areas if you look hard enough. All the people you meet may not be exact prospects but you could find a lot of prospects, referral sources, opportunities to be a speaker and many other opportunities you wouldn’t have with less networking. One tip on where to find more networking groups or meetings is to search beyond your local chambers, go to meetup.com and do a search for the keywords that would be of interest to your target market, do a search on Google for groups with your specific focus or even search on Facebook or LInkedin.

2:  Have a Clear Strategy For Working the Room:  To just attend is not good enough, you want to go with a goal of how many people you want to meet, what other goals you can achieve, like how many potential referral sources you want to meet too. Sometimes you also want to become an exhibitor or sponsor of an event, not just an attendee for added exposure and added opportunity to showcase yourself and what you do. One tip for working the room is to ask lots of questions of everyone else and talk more about them than yourself. Asking for everyone’s cards so you can follow up later but even suggesting to them then that you’d love to set up a follow up, get-to-know-ya type of a call.

3:  Make Sure You Always Follow Up Like Crazy: This is where most business owners fall down and don’t actually maximize their time networking in the first place. Most sales will be made on the follow up. Most opportunities for speaking gigs or joint ventures will be made on the follow up. Calling to follow up is the best strategy but you also want to follow up via email and direct mail too. If you really want to make a big impression or get to someone quickly and they’re not responding then go search them out on Facebook or your favorite social media site and send them a message there too. One tip about follow up is to NOT add everyone you meet to your email newsletters or a subscription via email however, that is spamming and not good etiquette. If someone asks for you to send them your info or be added to your list then of course you can oblige. Finally, you want to follow up more than one time in each way, minimum of 2 direct mail attempts, emails and phone calls for best response.

Hopefully that helps you figure out how to fit more networking into your schedule and how to maximize your time too.  Remember, if you’re not that busy in your business and you need clients; your time spent networking could be the biggest bang for your buck and time to build your business quickly. Halloween Mailer Blunder

So what do you do when one of your fun, fantastic ideas turns into an embarrassing mishap?

For any of you who actually received my recent Halloween mailer….let me explain and apologize.

For those of you who didn’t receive it, learn this valuable lesson instead….

Last week of course I was in Chicago and while I was gone I had delegated the coordination and mailing of my fun Halloween mailing to one of my assistants/VAs. It was supposed to be a simple thing, stuffing into big envelopes, candy and a flyer and mailing out to a small, targeted list of folks.

Well, my VA, doing her due diligence, got a quote from a local Post Office on how much each piece should be to mail, she put the mailers together and sent them out. Whoalla!

Then the following day, there was a voice mail on my home office phone from the PO where she mailed them from (a different PO mind you than where she got the quote) saying to call them right away because two of the three bins of packages were short postage of $.17 each! They asked if we wanted to fix them or send postage due…..

The unfortunate thing is that since I was out of town, I did NOT check my voice mail every day and I did NOT delegate that (which I will now!!!), I didn’t get the message from the PO until the following day and the mailers had already gone out POSTAGE DUE $.17!!!

So, needless to say, this fun, fantastic, surprise mailer that went out to a select group of clients and contacts for Halloween – went to them owing money to receive it….YUCKY I KNOW!

So, if you received the package, that’s what happened and I’m sorry. Know that you will be receiving an EXTRA SPECIAL GIFT from me now in late November to make up for it (although for most of you, I know that you don’t really mind and don’t expect anything to make up for it)! Thanks for understanding….

For all of you, here’s the lesson:

When you go out of town or even when you delegate a task in the first place, remember to:

  • Put your phone and message retrieval on auto pilot just as you would your email replies by either delegating this task to an assistant who can respond in your place at least or use a service such as Front Office Staff or whatever to answer your phones and place an auto reply on your email (which most of you probably do). But the phone thing is crucial. I’ve only delegated checking my messages one time and thought I’d have time to check them myself during this trip but there was so much going on and I didn’t want to take myself out of the ‘action’ so to speak to check in. (Don’t be the type of person you see at a conference who goes out to the hallway during all breaks checking their messages and calling clients when you should spend your time ‘in the moment’ soaking in all the resources, information and making as many contacts as you can while you’re there!)
  • Explain thoroughly what needs to be done, giving specific examples, instances and giving clear instructions on when and how to contact you. For example, if you’re not checking email and one of your assistants is checking your email (or even if they’re not), make sure any other assistants or vendors know that if they need to reach you email will NOT work during that time, they will need to pick up the phone. Another example: I’ve now trained one of my assistants to do such a good job at being the gatekeeper and handling things while I’m gone that I actually missed out on a connection while I was in Chicago because my assistant didn’t want to bother me until she knew for sure it was going to be ok….not good. However it’s ok, all is good; and everything happens for a reason but that doesn’t mean we can’t learn from it.
  • Know that you are in integrity with yourself if something does go wrong; it’s not always in your hands and most of the time you can make up for it if you get a little creative. This doesn’t mean that you shouldn’t delegate – you still need to delegate in order to really become and live and run your business like the CEO; you just have to let things fall where they may and let it go….

I hope you find this helpful in knowing I don’t always get things perfect either – ;0)

This week I’ve been furiously putting the final touches on my new product entitled The Ultimate Marketing Follow Up System for Entrepreneurs and Independent Sales Professionals.

Sound like something you could use? Do you always get to your own follow up or do you have business cards sitting in piles on your desk waiting for you to get to?

For many entrepreneurs networking is a must to build your contact list the fastest way possible. After all, networking is one of the least expensive, most effective forms of marketing that you can do!

Besides if you have no customers yet and nothing to do – you have to do something! Networking is also the best way to build relationships; no other form of marketing or advertising can do this for you. People buy from people they like and connect with.

I’ve been self employed for five years and I’m still networking; I’m just more selective now on where and who I network with. When I first started out I joined four local chambers, a women’s organization and a leads group and I was at every event all the time.

As my business started picking up, I reduced the number of groups I was involved in and remained in only those that were the best fit for me and that brought me the most clients. I was extremely active in those that I stayed in so that I would be well known; basically I became the Go-to-Gal for my industry and associations.

This is what you want. You want for others to see you as the expert in your field. The key is though to be selfless, generous and knowledgeable in the process.

These days I’m networking even online through various social networking sites, business networking sites and other membership sites that I belong to but this takes time and finesse as well.

Rarely do I see very many really good networkers though so I urge you to learn more, practice your skills, focus on giving to others and really work at becoming the best networker you can because it will pay off with more customers and bigger profits.

Here are a few habits that a good networker typically exudes; they will:

  • Go with a goal
  • Be prepared, mentally and with materials
  • Arrive early and stay late
  • Work the room
  • Master their ‘commercials’ and alter them as needed
  • Introduce others around
  • Pass people off nicely and move on
  • Ask questions of the other person
  • Know to listen more than they talk
  • Take notes on cards
  • Quickly and repeatedly follow up

So, how to you match up? What are you doing?

One thing I want to remind you of is that no matter which ones you are doing if you are NOT doing the very last one listed – the FOLLOW UP – then I can tell you right now that you are absolutely wasting your time (and money) doing the networking in the first place!!

I can’t stress to you enough that if you find yourself not being able to get your follow up done – then figure out someone to delegate this to. It’s worth whatever it costs to pay someone to do this for you because it could mean the difference between one sale and fourteen sales!
