For introverts, these lead generation strategies might not appeal to you….but for me I love what I do!  Everyone needs to learn how to Work the Room at Events & Conferences to generate more leads without being annoying and salesy. You want people to talk to you, right?

I love going to events, conferences and inspiring, supporting, coaching and even converting people to become clients. Why do I go to so many live events, even if I have to travel to get to them? Because it’s the biggest form of lead generation in my business! Remember you have to do more of what works. And this works IF you know how to work the room like I do.

lead generation work the room at eventsHere are my Tips for Working the Room when you are at Networking Events & Conferences:

  1. Start with Serving – have a goal of helping others rather than finding people to buy your stuff, you will attract a lot more people to talk with.
  2. Have good Energy stay in the frame of mind that it will all work out in the end, if you give, you will get. I go in with loving energy to hold space for people who need my help and are struggling, what do your prospects need?
  3. Ask Lots of Questions stop talking about yourself unless asked, ask other questions than just “what do you do?”. To find out if someone might need my help I ask, “what are your biggest challenges in your business or marketing right now?
  4. Seek the Unknown stop sitting with people you know already (unless you invited them as your guest), move around the room at every break to meet and sit with NEW people to meet as many people as possible
  5. Provide Value if someone expresses a challenge or asks a question about something you have expertise in, help them on the spot, give them a few minutes of “free advice or resources”, not just a flyer about your services to buy first.
  6. Get the Verbal Opt In grab everyone’s business card or contact information but remember to ask them if they’d like to receive your free tips, resources, report, audio, video, etc. and get on your email list. Otherwise you cannot add them, this is a verbal opt in; do it to build your list faster and making the follow up easier
  7. Move ON! don’t hang out with the same people the whole time, there are way too many more people to meet – keep moving on. If someone won’t “let you move on” then politely introduce them to someone else and bow out of the conversation (I call that passing them off)

Other Great Strategies for you to try.

  • When Planning Travel to an Out of Town to an Event or Conference – Prepare ahead of time; check the event/conference schedule first. Then start connecting with your contacts and friends in the area to set up additional fun meetups, Tweetups (if you are holding a meetup on Twitter) and networking opportunities. You can advertise your meeting on Meetup, on Twitter, Facebook Events to name a few ways to get exposure for free. Try this the next time you go to a Conference or an out of town Event – it REALLY WORKS!
  • Hosting Networking Opportunities When I’m hosting a fun networking opportunity in the area I’m traveling to, I use Private Message to send a message to people on Facebook or LinkedIn to invite them to a networking opportunity in their area. On Facebook, simply go to business groups that are in the area of your destination. You can see all of the members of groups on Facebook, IF the group is not SECRET. Remember – you are not going to spam them with your business offerings – NO! The intent is that you want to genuinely connect with them and let them know that. You might tell them that you are hosting a business networking event in their area and would love to see them there. Of course, ask them to come and to share the information about the networking event/meetup with their connections/friends. That’s not salesy or pushy. You are attempting to connect with others in a different area. People will respond to you. I HIGHLY RECOMMEND this approach – it’s one of my guerilla marketing strategies.
  • Remember Your Marketing Materials When you are attending out of town events – always bring your marketing materials, information, forms! I’ve made THOUSANDS at an event where I was attending and not speaking at, by simply being prepared with a sampling of things that I offer. This person invested $40k in one of my high end programs! So, make sure you have your marketing materials AND your order forms on your high end programs when you are attending events & conferences.
  • Regarding the Verbal Opt-In Here’s a great tip to help you get the VERBAL Opt-in Make sure to take along something to give to those you meet at Live Events, something to induce them to be on your email list. I have created a Cheat Sheet of 17 Revenue Generating Tips that I offer to those I meet who are struggling in their business. I hand these out at the time I’m talking with them in exchange for their business card(s) AND I let them know that they will be receiving additional tips and information from me because I’m going to put them on my email list! (so they can receive the tips) You can also create a CD to take along to hand out. Just make sure the person knows that you will be signing them up on your email list so you can send them whatever you’re offering that will help them. As you know, or should know, you can’t just add someone to your email list just because they’ve exchanged business cards with you. Get the verbal opt-in!

When you do a table display or back of the room table from speaking or you pay big time to exhibit at a larger conference, there are some crucial things you want to make sure you do, bring and prepare for so you can MAXIMIZE & MONETIZE your experience the best.

  • You need to prepare for the event no matter how large or small – what to print, create, bring and offer.
  • You need to work the room while you’re there – to maximize the number of leads you get, make the best connections and even hob nob with the Who’s Who too
  • You must, must, must do your follow up or you will be leaving tons of sales and possibly thousands of dollars on the table from people who did not take action on the spot. (the majority of my sales, and even high dollar sales too, come from my follow up)
So make sure you maximize the events you’re attending this fall and always – they can be the hottest marketing strategy that you do if you do them well and you strategize and plan for what you want and need to do.

I’ve done probably over 100 different displays for my business alone in the last few years and I keep learning in fact on what works and what doesn’t. But for the most part I’ve managed to figure out how to pick the right shows for me, think up the right promotions, plan out a good follow up strategy and design an effective purpose and plan of action for the events themselves.

I have all this knowledge and expertise in this area and I wanted an easy way to share it with you so you wouldn’t waste a bunch of your own time or money figuring it out the hard way like I see so many business owners doing when I go to shows.

So ask yourself these questions:

  1. Have you displayed at a tradeshow or biz expo and when it was all over you had nothing to show for it but hundreds or thousands of dollars spent on marketing materials and your time?
  2. Do you want to find out how to make more sales and contacts from tradeshows and biz expos whether you’re a vendor, speaker or just an attendee?
  3. Have you attended a tradeshow or biz expo and not gotten anything out of it – meaning you didn’t get even one contact that developed into more business or more money?

Last week I started discussing my trials and tribulations on planning and promoting a big live event. I shared with you 10 of the 20 things I came across that you do not want to do when planning your live event. Here’s the other 10.

11. Don’t think you’re going to run your own audio visuals especially if you’re the speaker (that includes videotaping yourself, recording the audios, playing music during breaks etc.) – you need to be ‘on your game’ the whole day

12. Do not forget that you have to give your attendees “AN EXPERIENCE” they will never forget or why will they come back or buy from you?

13. Don’t think “if you build it, they will come”

14. Don’t spend your marketing dollars in the wrong places or inexpensive places just because they’re inexpensive – make sure you spend your dollars where your target audience will see it

15. Don’t think you can put on an event for 30 + (and especially more!) people and NOT spend hardly any marketing dollars

16. Do not be cheap – you want to look like you have what it takes for them to hire you or feel comfortable to buy your products

17. Don’t forget last minute details like nametags, volunteers, extra microphones, table signs, electricity and internet, parking and directions

18. Do not let yourself get sick because you are working 20 + hours a day trying to pull it all together at the end because you thought you could ‘do it all yourself’ (to save money)

19. Don’t forget to sell stuff at your LIVE event

20. Don’t forget to have a feedback survey afterwards and collect testimonials (live in person, audio or written) for future marketing purposes

No, Richard and I didn’t make all these mistakes but we came close to many and did a few. Since this topic was so top of mind with me at the moment I thought I’d share these points I’ve learned with you. I hope you find it helpful.

Now don’t get discouraged! You can still plan your own event, just be wise about it. You can actually make a TON of money if you structure it right. I plan to sell stuff at EntrePalooza – product and services packages and a bootcamp for example. And at one event Ali was a guest at (not her own event – she makes more there) she made over $100,000 on her product sales in the back of the room – amazing huh? (maybe some of you already do this? fantastic!)

Ali Brown actually put together her complete marketing secrets on every step she took to plan, promote, market, sell out and put on her Blueprint Workshop among other tips for being a speaker at other people’s events too – she rolled it all into an awesome product she now sells called her Marketing Workshop Secrets. I think it’s fantastic myself and she gives you all her email templates, copies of her mailings, timeline, budget, everything in this package. If you’re thinking about planning your own LIVE event in the next year or two (because Ali says you have to plan 6 months in advance!) I highly recommend you pick up her Marketing Workshop Secrets product and get some help! (because believe me, I’m not going to do it for you! hee hee)

I’m currently in the midst (actually down to the wire) of planning the first really big LIVE event I’ve ever planned. I’ve hosted or spoken at small workshops, talks, biz expos, breakout sessions and seminars and have always wanted to hold a really big event.

When I first started my business in 2002, I was even more of a local networking fanatic back then and my thinking was that I’d gather up about 4-8 chambers of commerce and get them all to coordinate or go in together for one gigantic networking event here in the Sacramento area. But I soon found out that the chambers weren’t really open to playing nice with each other, too many chiefs for sure.

So I had attended numerous bigger live events, conferences and workshops around the country and I’d seen what they did, watched their processes and their marketing and took notice of what was going on in the room during the event for sure. I even got the inside scoop from one of my coaches events, Alexandria Brown and her Online Success Blueprint Workshop (which is coming up in November 2008 by the way – fabulous event, I’m going again!). I learned what her event planner Joy was doing along the way since I was in her high-end coaching program.


Yet when my friend Richard Ruckman (CEO of TGIF Networking) and I sat down in March this year, I think it was, I somehow let a lot of that knowledge and understanding get thrown out of the window!!

We actually brainstormed this EntrePalooza event together which is turning out really great but I must admit a few mistakes along the way as well as “I’ll never do that again” things that I want to warn you about in case you might be thinking about holding your own LIVE event in the near future.


The 20 Things NOT to Do When Planning Your Own LIVE Event:

  1. Do not think you can do it all yourself
  2. Do not think you can do it all yourself
  3. Do not think you can do it all yourself (this is important enough to list at least 3 times!)
  4. For an event of over 30 people (especially 75 plus), you’re crazy if you don’t hire an event coordinator to help with the budget, venue, audio visual needs, catering, etc. or you will forget to anticipate certain expenses
  5. You’re also crazy if you don’t hire a marketing company to coordinate all the mailings, emails, mailing lists, gathering of information, project managing all the design, printing and delivery, the sign development, vendor booth setup, sponsor correspondence, attendee correspondence, daily emails, registrations and sooooo much more it’s insane.
  6. Do not forget to ask for inkind donations for items and services you need to support your event in exchange for sponsorship or exposure
  7. Do not skimp on the food or beverages – you need to keep your people fed and happy so they are alert and will listen and want to buy from you
  8. Do not do manual registrations or you’ll go nuts – we have online registrations (and there are other registration specific services you can get too) and we’re still nuts
  9. Do not forget to plan ahead on your marketing, mailings and emails so you don’t pay extra for rush jobs and full postageDo not forget to sell sponsorships way in advance to supplement your revenues

No, Richard and I didn’t make all these mistakes but we came close to many and did a few. Since this topic was so top of mind with me at the moment I thought I’d share these points I’ve learned with you. I hope you find it helpful.
